Participants: ATA members receive first consideration with airline discounts and lodging, followed by ministry representatives, tourism board staff, travel trade organization members – ASTA, CTO and PATA and then independent delegates. ATA extends courtesies to other professionals working to promote tourism to Africa.
Registration Fee : The Registration Fee includes: hotel/airport transfers for delegates arriving on designated Congress flights into Banjul International Airport; and sessions and sponsored meals set forth in the program. The program however is subject to change, including but not limited to hosted lunches and evening receptions, which may or may not be provided based on sponsorship. Sightseeing and local transportation ONLY to and from airport, Congress hotels and event functions may be provided by the Host Country free of charge as noted in the program. Delegates who arrive late or leave early will not receive credit for any of above or other unused services in connection with the Congress. The Registration Fee must accompany each Registration Form and be paid in USD ($) by cheque, money order, or credit card (for an additional fee). Delegates outside North America may effect payment through bank transfer to the Africa Travel Association c/o CITIBANK at 1 Park Avenue, New York, NY 10016, Account Number 99-641-76861, bank transfer number ABA-021000089 CitiUS33, bearing the words “without charges to beneficiary.” Please note to add $30 to Registration Fee total for bank wire transfers.
Late Bookings & On-Site Payments: Late bookings and on-site payments for Membership Dues and Registration Fees must be made in USD ($) or travelers cheques made payable to ATA. Personal or company cheques will NOT be accepted from on-site registrants. Credit cards will only be processed through the ATA web site via PAYPAL.
Hotel Accommodations: Upon full completion of registration, ATA will send instructions to registered delegates on procedures for securing hotel accommodations at special rates. While ATA is recommending hotels for your stay during the congress, the Association will not be liable or responsible for any issues relating to reservations or your stay in the hotel that may arise. Please only accept confirmations in writing whether from the hotel or from ATA.
Personal Expenses: Any expense incurred by delegates in connection to hotel rooms (i.e. restaurant, bar, telephone, fax, internet, or laundry) are the responsibility of delegates and must be settled with the hotel upon checkout. No charges will be accepted by the designated hotel on ATA’s account unless charges are authorized by ATA’s Executive Director.
Air Travel : ATA has negotiated special rates to Banjul with Royal Air Maroc from New York via Casablanca. Rates start at $713 (plus tax of approx. $390) and are available on a first-come first-serve basis. Bookings must be made directly with Royal Air Maroc's office in New York, and can only be processed after registration is completed and delegates are provided with a letter of confirmation from ATA. This letter will provide instructions to delegates on how to proceed with bookings.
Cancellation Policy: Cancellations for registration fee must be submitted in writing and will NOT be accepted by telephone. Any cancellation must be received by ATA Headquarters no later than April 15, 2010 and may be subject to an administrative cancellation fee of $200. All payments are otherwise non-refundable. ATA is not liable for cancellations on hotel or air.
Limitation of Liability: Since many Congress services will be provided by local suppliers and vendors over whom ATA has no control with respect to their operations, equipment and personnel, neither ATA nor its officers, directors or staff can assume responsibility for any personal injury, property damage or loss which may be occasioned by reasons of:
- Wrong or negligent acts of omissions by the suppliers or their employees;
- Any defect or failure of vehicle, equipment, or other instrument owned, operated or otherwise employed by such governmental organization or other suppliers; and/or;
- Any wrongful or negligent act for omission on the part of any party not under direct control of ATA.
In the event of the occurrence or likelihood of an extraordinary circumstance, which may cause or create extraordinary risk or severe injury or damage (including but not limited to any acts of God, fires, explosions, earthquakes, floods, elements of volcanic eruptions, strikes, riots, civil commotions, epidemics, war, rebellion or harmful acts for political, terrorist or other similar purposes), ATA reserves the right to assess the risk of injury, damage, and in ATA’s sole discretion, to determine whether to cancel or otherwise limit the Congress and its activities. Should the Congress be cancelled or limited for safety reasons beyond ATA’s control, failure by ATA to perform further obligations relative to the Congress will not be considered a breach of any contract to hold such a Congress. ATA cannot, in any event, assume responsibility for any loss, cost or damage resulting from such extraordinary circumstances, or any subsequent cancellation or limitation of the Congress.
Insurance: ATA recommends delegates take insurance coverage for cancellation, personal accident, medical expenses, evacuation, personal liability, and loss of baggage. ATA will not be responsible if the delegate fails to take insurance coverage. Contact your insurance agent for more details.
Passport, Visa & Other Travel Documents : All documents are the full responsibility of the delegate. ATA will not process these documents or incur any such costs included in the fees. Delegates may obtain a visa prior to departure at the nearest Gambian Embassy. Delegates must bring a passport valid for a period of six months beyond arrival in the country (with at least one blank page), two passport photos, and a completed visa applicaion form. Visas are required for US delegates. All pre-registered and confirmed delegates will receive two letters from ATA and from The Gambia confirming that "gratis visas will be issued upon arrival in Banjul". Delegates MUST travel with these two letters in hand to avoid any challanges with the airline and to ensure that they recieve visa in Banjul.
